Info  As of April 2023, the MyLink, MyHorizon and MyLarkfield apps are being moved to an improved system. Unfortunately, there is a known fault meaning the apps may not work on, or be downloaded to, newer Android phones or phones running Android version 12.0.0_r46 . Who are we? 

We are Link Group Limited, New Mart Road, Edinburgh   EH14 1RL  o perating  as Link Housing and the operator of  ‘MyLink’ .  We are responsible for the processing as well as the protection of your personal data  submitted through MyLink .  

 

What is MyLink? 

MyLink is an application which allows you to record a number of service requests relating to your tenancy with Link, provide access to your information stored on our housing management system relating to your rent, payments and repairs.  

 

The type of personal information we collect from you

We do not process any of your personal data when you first download the MyLink app.  The app acts as a way for you to access the personal data held in our housing management system to manage your tenancy with us.  

When you first open the MyLink app, you will be asked if we can collect anonymous statistics about usage of the app.  We use the anonymised information to identify how many people are using the app and what types of service requests they are making.  

When you log into the app will display the following categories of personal data:   

  • Full name  
  • Full address including postcode   
  • Telephone number   
  • Email address  
  • Tenancy reference number  

How we get the personal information and why we have it

MyLink is a window to information held on Link’s housing management system and we process your personal data to allow you to access this information in an easily accessible and mobile-friendly format.  

The personal information we process is provided to us directly by you and it helps to manage your tenancy. For more information about how Link processes your personal data please visit www.linkhousing.org.uk/privacy  

We use the information that you provide via the app to deal with any service requests or questions you submit.  The app also allows you to update your existing information, like your telephone number or to add any new members to your household. 

We may share this information with staff within the organisation, DWP or the local authority for your area. 

How we store your personal information

Your information is securely stored as part of our housing management system. 

How long we keep your personal information

We will only keep your personal information for as long as is necessary to manage your tenancy, and in line with our data retention schedule.

Your rights

The right to be informed how your personal data is processed

This guide informs you how your data will be processed and sets out clearly Link's lawful basis for processing.

The right to access your personal data

You can submit a Subject Access Request to access the personal data that Link holds about you. You can do this by writing to:

Link will then have one calendar month to respond. As part of the subject access request process we may ask for two forms of identification to be submitted before any information is released.

The right to rectification

If any of the personal data we hold about you is wrong, you have the right to ask us to correct it.

The right to erasure

You may request that Link erase any of your personal data that is processed by us. This is also known as the ‘right to be forgotten’. Please note that this is subject to a number of exemptions and so is not an absolute right.

The right to restrict processing

If you believe that we are processing personal data unlawfully, where it is no longer needed or think that the personal data held is inaccurate you can ask us not to process that personal data.

The right to portability

The right to data portability applies when the lawful basis for processing is by automated means and you have provided Link with the personal data then you may request to obtain or reuse your personal data for your own purposes.  

The right to object

You have the right to object to our processing of your personal data. However, if Link can demonstrate that there is an appropriate ‘condition of processing’ in place then we may refuse to stop processing your personal data.

Rights in relation to automated decision-making and profiling

You have the right not to be subject to a decision solely based on automated processing. If a decision is made by an automated process you may ask Link to have the decision investigated by a member of staff.

How to action your rights under the Data Protection legislation

The right to complain to the ICO
